Request for Proposals Due 10/14/16: Event Coordination, Development & Public Relations Services

gitr-logo-masterThe Get Into the River (GITR) event is a collaborative effort seeking to highlight the Jordan River corridor, as well as bring our community together to “Celebrate, Recreate, Restore and Explore” this open space treasure. Working together, we can collectively improve and expand access to this natural resource for our community today, and the generations of tomorrow. GITR is planned and hosted by a broad network of counties, municipalities, nonprofits and community partners.

For 2017, we will be changing the structure to encompass a full month of events. We hope to host and promote a series of activities along the river during the entire month of September 2017, which will be book-ended by large volunteer service events organized by GITR. Between these opening and closing events, the GITR collaboration will serve primarily in a role of marketing and promotion of a community events calendar.

The Oversight Committee makes decisions about the event budget, any contracts and the overall schedule and plan for the event. Currently the Oversight Committee is comprised of representatives of the Jordan River Commission, Salt Lake City, Salt Lake County, Splore and the Event Chairperson, which is a rotating position that is always held by a nongovernmental community partner. The Chair position is currently held by Denise Winslow, Vice President of Community Affairs at Wells Fargo. Splore serves as the Fiscal Sponsor and oversees all financial aspects of the GITR event. Additionally, a Planning Committee, which includes any organization or individual wanting to participate in event planning and hosting, meets on a monthly basis to coordinate event activities and marketing.

The Oversight Committee is requesting proposals to provide the event coordination and management, development assistance, and marketing, promotion and public relations. The objectives to be achieved by the contractor for this project are:

  • To increase visibility of the GITR event among regional, political and corporate communities;
  • To increase attendance at individual events;
  • To increase traffic to GITR website and social media;
  • To increase the pool of volunteers, organizations, and individuals hosting or participating in GITR events;
  • To increase revenue through event sponsorship;
  • To establish potential collaborative efforts with other organizations and corporations; and
  • To coordinate volunteer service event logistics and needs.
